This Privacy Policy describes how The Fit Physician ("we", "us", "our"), operating the Flynn OS coaching intelligence platform ("Flynn OS", "the Platform"), collects, uses, and protects your information. By using Flynn OS, you agree to the practices described in this policy.
1. Information We Collect
Account Information
When you create a Flynn OS account, we collect:
- Name and email address
- Business name and profile details
- Authentication credentials
Client Data
As a coach using Flynn OS, you may store information about your clients, including:
- Client names, contact information, and profile details
- Workout programs, training history, and progress data
- Messages exchanged between you and your clients
- Notes, goals, and assessment records
Payment Information
Payment processing is handled entirely by Stripe. We do not store your full credit card number, bank account details, or other sensitive financial information on our servers. Stripe may collect and store payment details in accordance with their own privacy policy.
Usage Data
We automatically collect certain information when you use the Platform, including device type, browser information, access times, and general usage patterns to help us improve the service.
2. How We Store Your Data
Your data is stored in a Supabase cloud database with encryption at rest and in transit. We use industry-standard security measures including:
- TLS/SSL encryption for all data in transit
- Encrypted database storage
- Row-level security policies to isolate tenant data
- Regular security reviews and updates
3. Third-Party Services
Flynn OS integrates with the following third-party services to provide its functionality:
- Stripe — Payment processing for subscriptions and invoicing
- Resend — Transactional email delivery (account notifications, client communications)
- Supabase — Database hosting, authentication, and real-time data services
- Vercel — Application hosting and content delivery
Each of these services operates under their own privacy policies. We encourage you to review them independently.
4. Cookies and Local Storage
Flynn OS is built as a Progressive Web App (PWA) and uses the following browser storage mechanisms:
- Session tokens — To keep you securely logged in
- Local storage — To cache application state and enable offline functionality
- Service worker cache — To provide fast load times and offline access to the app
We do not use third-party tracking cookies or advertising pixels.
5. Data Ownership
You own your data. Specifically:
- Trainers retain full ownership of all client data they enter into Flynn OS
- Workout programs, templates, and business content you create belong to you
- We do not sell, rent, or share your data with third parties for marketing purposes
- We only access your data as necessary to provide, maintain, and improve the service
6. Data Deletion
You have the right to request deletion of your data at any time. Upon request:
- We will delete your account and all associated data from our active systems
- Client data you have stored will be permanently removed
- Deletion requests will be processed within 30 days
- Some data may be retained in encrypted backups for up to 90 days before being purged

7. Data Security
We take reasonable measures to protect your information from unauthorized access, alteration, or destruction. However, no method of electronic transmission or storage is 100% secure, and we cannot guarantee absolute security.
8. Children's Privacy
Flynn OS is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children.
9. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will revise the effective date at the top of this page. Continued use of the Platform after changes constitutes acceptance of the updated policy.
